Sharing vs. assigning: which should I use?

When to share a file with teachers and when to assign it to students.

Written by Mihir Patel

Share or assign?

Knowt gives you two ways to get a file to other people. They do different things.

  • Assign is for students. The file shows up in your class, and you get analytics on how each student studies it. Use Assign to students.

  • Share is for sending a link or collaborating with other teachers. Sharing doesn't track student progress. Use the Share button.

Tip: If you want to see how your students are doing, assign the file. Students who only open a shared link won't show up in your class analytics. The Share window reminds you of this, and its banner takes you straight to assigning.

Choosing who can see a file

  1. Open the file and click Share.

  2. Under Viewing access, choose who can open it:

    • Public: visible in the Knowt Library

    • Org: visible to teachers in your district

    • Private: visible to you and the people you've shared it with

    • Password: visible to people with the link and password

  3. Under Share Link, click Copy link to send it, then click Done.

Note: On free teacher accounts, Private and Password need Knowt Ultra. They're marked with a crown.

Collaborating on notes

When you share a note, you can also add other people by email under Add individuals to edit, comment, or view.

To find files other people shared with you, open Materials, click the All materials filter and choose Shared with me.
