Knowt Admin Dashboard Guide

How to monitor usage, manage members, and configure settings in the Knowt Admin Dashboard — for district and school administrators.

The Knowt Admin Dashboard gives school and district administrators the tools to monitor usage, manage members, and configure settings across their organization. Access it at knowt.com/admin or by clicking on the Admin Dashboard Button

Analytics

View usage metrics

Use the Analytics tab to track how your organization is using Knowt. You can filter all data by time range (Last 7 Days, Last 30 Days, Last 90 Days, Last 365 Days, or All Time).

Available metrics include:

  • User Accounts — total number of accounts in your organization

  • AI Usage — how many times AI tools have been used

  • Created — number of materials (notes, flashcards, etc.) created

  • Logins — total login count over the selected period

Monitor AI usage trends

The AI Usage Over Time chart shows daily AI tool usage across your organization, helping you understand adoption patterns and identify spikes.

Track teacher content creation

The Materials Created By Teachers chart breaks down what types of content teachers are creating (flashcards, notes, assessments, etc.) over time.

Check active classes and incidents

Summary cards show your total Active Classes and Incident Reports at a glance.Members

Members Tab

View and search members

The Members tab lists all users in your organization. You can filter and search by name, email, school, account type (Teacher/Student), or license status. Summary cards show totals for Licenses Used, Active Students, Active Teachers, and overall Teachers and Students counts.

View a member's activity

Click any member's row to open their detail page.

  • For teachers: You'll see a Materials tab showing their Creation Breakdown (Flashcards, Notes, Chat, Assessments) and a list of all materials they've created. A Classes tab shows their classes.

  • For students: You'll see a File Chats tab showing AI chat interactions and a Chat Tutors tab. Any flagged incidents are tracked here. Materials created by the student will also be shown, along with their AI usage

Edit a member's information

Click the (three-dot menu) button on any member's row to open their Member Information panel. From here you can:

  • Change account type — switch between Teacher and Student using the Account Type dropdown

  • Update birthday — use the date picker to correct a member's date of birth (useful for fixing age-gate lockouts)

  • Assign to a school — use the School dropdown to move a member to a different school

  • Toggle license status — enable or disable a member's license

  • Make someone an admin — use the Admin link to go to Manage Admins settings

Settings

The Settings tab has three sub-sections: Organization, Manage Admin, and School Settings.

Organization

View and edit district details

The Organization sub-tab shows your district name, location, main school alias, and allowed sign-in types (Google, email, etc.). Click Edit to update these details. Use Manage Domain(s) to update your organization's email domains.

Manage your Data Privacy Agreement

Click Manage DPA to view or update the Data Privacy Agreement between your organization and Knowt.

Manage Admin

The Manage Admin sub-tab lists all current administrators and their access levels. You can add new admins or modify existing admin permissions here. Each admin can be assigned different levels of access to control what they can manage.

School Settings

View all schools at a glance

The School Settings sub-tab shows a table of all schools in your organization. Each row displays the school's current settings for Buy Power, 13 & Older AI, Under 13 AI, Teacher Sharing, and Student Sharing. Click Add School to register a new school.

Edit default settings

Click Edit Default Settings to change the default configuration that applies to all new schools.

Manage individual school settings

Click Manage next to any school to open its settings panel with five sections:

13 & Older AI

Control which AI tools students aged 13 and older can access:

  • PDF, PowerPoint, Video Summarizer Access — allow students to use AI summaries to generate notes, flashcards, and practice problems from uploaded files

  • Lecture Recorder Access — allow students to record live audio and generate AI-powered notes, flashcards, and practice problems

  • Chat — allow students to use a monitored ChatGPT-like chat tool (admin is notified of issues, not teachers)

Each tool can be toggled on or off independently.

Under 13 AI

The same three AI tool toggles as above, but specifically for students under 13. Changes to Under 13 AI settings apply across all schools in your organization (org-wide scope).

Notification

Notification settings are coming soon.

Sharing

Control the maximum sharing level allowed for teachers and students:

  • Teacher — set to Private, Organization, or Public. This determines the highest level of visibility teachers can choose when creating content.

  • Student — same options as Teacher. Controls the maximum visibility students can set on their materials.

For example, setting Teacher sharing to "Organization" means teachers can share content within the org or keep it private but cannot make it fully public.

Buying Power

Toggle whether students can buy their own plans. When enabled, students (or their parents) can purchase a Knowt license on their own using a credit card.Quick Reference
